Four Years Producing the Wildlife Conservation Expo

Capitola Media provided full live event production for the Wildlife Conservation Network’s annual Wildlife Conservation Expo for four consecutive years. The assignment went well beyond filming speakers. We were responsible for the audiovisual setup and technical production across two active rooms, supporting multiple presentations and sessions throughout the weekend and then carrying the recorded program through post-production afterward.

The Expo brings conservationists from around the world together with supporters and partner organizations to share field work, research and conservation initiatives. Dr. Jane Goodall was a long-time WCN supporter and recurring Expo headliner, joining the organization’s conservationists and guest speakers in bringing the work of wildlife protection to a live audience of more than 750 attendees.

Two Rooms, Concurrent Sessions and a Full Weekend Schedule

The technical plan had to support two presentation spaces operating on the same schedule. At the Mission Bay Conference Center at UCSF, the Expo used the Robertson Auditorium and Fisher Banquet Room for concurrent programming, with sessions running from morning through the end of the day. Different speakers, panels and conservation topics moved through both rooms across the program.

For Capitola Media, that meant treating the event as a complete multi-room production rather than a single-camera conference record. Audio, presentation playback, camera coverage and recording had to remain dependable in both spaces while speakers and programs changed continuously. The production team also needed to maintain consistent technical standards from one session to the next so that material from the entire weekend could move efficiently into post-production.

Live AV Production and Session Capture

Our role included the full AV setup and operation required to support the live program, along with multi-camera coverage and recording of the sessions. Each room had to be prepared for presenters, panels, presentation media and audience participation without interrupting the pace of the event.

This is the kind of assignment our event production service is designed around: planning the technical system, coordinating signal paths and room requirements, capturing speakers and presentations, and making sure the live experience and the recorded deliverables are considered together rather than as separate jobs.

Post-Production for Every Session

The project continued after the audience left. Capitola Media handled post-production for the recorded sessions, organizing the material from both rooms and turning the weekend’s presentations into finished programs for WCN to distribute after the Expo. The scale of the editorial work followed directly from the live production plan: every session needed clean, consistent source material, understandable audio and usable presentation coverage.

The finished recordings extended the value of the event beyond the people in the room, giving WCN a complete library of presentations that could continue reaching supporters after Expo weekend.

A Long-Running Conservation Event at Mission Bay

The Mission Bay Conference Center at UCSF, 1675 Owens Street in San Francisco, served as the Expo venue during the period in which Capitola Media supported the event. The facility’s two principal presentation spaces made it possible to run concurrent programming while keeping the event centered in one venue.

Across four annual Expos, the assignment combined live event engineering, camera production, session recording and post-production into one continuous workflow. It is a useful example of Capitola Media’s ability to manage an event where the deliverable is not simply a successful weekend, but a complete library of finished content afterward.
